Terms and Conditions

 

1. Booking and Payment

  • A deposit of €350 is required to secure your booking.

  • Full payment must be received no later than 14 days before the start of the programme.

  • Failure to pay the balance by the due date may result in cancellation of your booking.

  • Bookings are considered provisional until the Health Questionnaire has been received and approved by the retreat team.

2. Transfer Policy

  • Transfers made 15 days or more before the programme commencement: No fee.

  • Transfers made between 8 and 14 days before commencement: Loss of €350 deposit.

  • Transfers made 7 days or less before commencement: €500 fee applies.

Additional conditions:

  • Transfers are permitted only to a programme taking place within 12 months of the original programme start date.

3. Cancellation Policy

  • 30 days or more before programme commencement: €25 administrative fee.

  • 15–29 days before commencement: Loss of €350 deposit.

  • 8–14 days before commencement: €500 fee applies.

  • Less than 7 days before commencement: Full programme fee retained (no refund of deposit or balance).

4. Retreat Cancellation

If the retreat is cancelled due to unforeseen circumstances:

  • Guests will be notified as soon as possible.

  • We recommend that all guests obtain appropriate travel insurance to cover:

    • Travel costs

    • Accommodation costs

    • Other associated expenses

These costs cannot be reimbursed by the retreat.

5. Health and Medical Disclaimer

Participation in the retreat is undertaken at your own risk.

The retreat, its facilitators and therapists do not provide medical advice, diagnosis, or treatment.

Guests are responsible for:

  • Disclosing any relevant health conditions

  • Disclosing injuries or medical history

  • Listing all medications

  • Informing us of any factors that may affect safe participation

Guests are strongly advised to consult their healthcare provider prior to attending if they have any medical concerns.

The retreat programme — including detox, fasting, yoga, and treatments —:

  • Is not a substitute for medical care

  • Provides complementary, non-medical guidance only

Health Questionnaire Requirements

All guests must complete and return the Health Questionnaire:

  • At least 14 days before arrival

If a booking is made within 14 days of the retreat start date:

  • The questionnaire must be submitted within 48 hours of booking

The questionnaire must be submitted prior to arrival so the facilitation team can determine whether the programme is safe and appropriate.

Important Conditions

  • Failure to submit the Health Questionnaire within the required timeframe may result in cancellation of the booking.

  • Guests who arrive without having submitted the questionnaire in advance may be refused participation if suitability cannot be determined.

  • In such cases, standard cancellation terms apply and refunds will not be issued.

  • We reserve the right to:

    • Decline participation

    • Modify programme activities

    • Request medical clearance

if a guest’s health status, medications, or other factors make participation unsuitable or unsafe.

6. Liability

Guests participate in retreat activities voluntarily and at their own risk.

Moinhos Velhos, its facilitators, staff, and therapists shall not be liable for:

  • Injury

  • Illness

  • Loss

  • Damage

that may occur during the retreat, except where required by law.

Guests are responsible for:

  • Their own wellbeing

  • Their personal decisions during the programme

7. Age and Eligibility

  • Guests must be 18 years or older to attend.

We reserve the right to:

  • Refuse participation

  • Remove a guest from the retreat

if necessary due to:

  • Health concerns

  • Non-disclosure of relevant information

  • Behaviour affecting the safety or wellbeing of others

In such cases:

  • No refund will be issued.

8. Personal Belongings

  • Personal belongings remain your responsibility. The retreat cannot be held liable for lost, stolen, or damaged items.

  • Please do not leave valuables unattended in communal areas.

9. Code of Conduct

  • Guests are expected to behave respectfully towards others and staff.

  • Any disruptive or harmful behaviour may result in removal from the retreat without refund.

10. Privacy and Data Protection

  • We collect and process your personal data in accordance with our Privacy Policy and applicable data protection laws (e.g., GDPR).

  • By booking, you consent to our use of your data for communication and retreat administration purposes.

11. Photography and Media

  • Photographs and videos may be taken during the retreat for promotional purposes.

  • If you do not wish to be photographed or recorded, please inform the staff prior to the start of the programme.

12. Force Majeure

  • We are not liable for delays or cancellations caused by events beyond our control (e.g., natural disasters, government actions, pandemics).

  • In such cases, we will make reasonable efforts to offer alternative arrangements or refunds as appropriate.

13. Intellectual Property

  • All materials and content provided during the retreat remain the intellectual property of the retreat and its facilitators.

  • Guests may not reproduce or distribute these materials without prior permission.

14. Programme Changes

While we make every effort to deliver the programme as advertised, schedules, activities, treatments, and facilitators may occasionally need to change.

This may occur due to factors such as:

  • Weather conditions

  • Group needs or safety considerations

  • Facilitator availability

  • Operational requirements

Where possible, we will provide equivalent alternative activities or treatments.

Such adjustments do not constitute grounds for a refund or compensation.

15. Detox and Programme Participation

Guests understand that participation in detox, fasting, yoga, bodywork, and other retreat activities may involve temporary physical or emotional responses, including but not limited to:

  • Fatigue

  • Headaches

  • Emotional release

  • Changes in digestion

  • Mild detox symptoms

Guests acknowledge that these responses can be a normal part of detoxification or lifestyle change programmes.

Guests remain responsible for:

  • Listening to their own body

  • Informing facilitators of any concerns

  • Choosing whether to continue or modify their participation

Participation in all retreat activities is voluntary.

16. Travel Insurance

We strongly recommend that all guests obtain comprehensive travel insurance, including coverage for:

  • Trip cancellation

  • Medical care

  • Personal belongings

  • Travel disruption

The retreat is not responsible for costs incurred outside the retreat programme itself.

At Moinhos Velhos, your privacy is very important to us. This notice explains how we collect, use, and protect your personal data in accordance with the General Data Protection Regulation (GDPR).

We collect personal information you provide voluntarily, such as your name, contact details (including email address), and health information submitted through our health questionnaire.

  • Support your participation in our retreat programmes;

  • Communicate important information related to your booking and the retreat;

  • Send you relevant updates, news, and offers related to our programmes, if you have consented to receive these.

3. Legal Basis for Processing
We process your data based on your consent, which you provide when submitting the health questionnaire and opting in to receive communications.

4. Data Sharing
We do not share your personal data with third parties except as necessary to provide the retreat services (e.g., therapists involved in your care during the programme). We ensure any third parties comply with data protection laws.

We keep your personal data only as long as necessary for the purposes outlined above, or as required by law.

Under GDPR, you have the right to:

  • Access your personal data;

  • Request correction or deletion of your data;

  • Withdraw your consent at any time (which will not affect the lawfulness of processing before withdrawal);

  • Request restriction of processing;

  • Object to processing;

  • Request data portability.
